Summary of the Role:

The Sponsor Fulfillment Coordinator is responsible for managing engagement and client fulfillment for sponsors of our live and virtual events as administrative duties to support sponsor engagement of our digital platform. The main focus of this role encompasses event planning and sponsor fulfillment across our Events and Digital lines of business, including planning and execution of live and virtual expos, as well as managing external and internal stakeholder communications. This includes a mix of administrative duties, client relations, and creative planning to help craft engaging experiences for attendees, exhibitors, and sponsors.

Job Responsibilities

Sponsor Fulfillment, Live and Virtual Events

• Function as the point of contact for sponsors and exhibitors at our live and virtual events --lead onboarding calls, manage sponsor communications, and support sponsors with registration
• Maintain well-organized documentation and update client information in Salesforce
• Ensure sponsors are accurately represented on the website, signage, program, event marketing, and other relevant locations.
• Administrative duties to support sponsor fulfillment, including uploading logos onto website and virtual event platform, creating virtual expo booths, creating registration codes, filing contracts, etc.
• Create and send post-event sponsor surveys and impact reports for each event

Event planning and Expo Hall

• Plan and coordinate expo hall logistics including working with vendors such as decorator, catering, and AV.
• Help exhibitors ideate on engaging activities
• Work closely with the Event Operations team to coordinate special events and activities relating to sponsor engagement

Digital Fulfillment

• Assist with the production of webinars -- set up webinar registration and attendee reminder emails in Pardot and webinar landing page on the SB website
• Execute post-production of webinars, including editing and posting to Digital Library and Vimeo
• Prepare digital impact reports
• Assist with collecting assets from digital partners. Schedule and manage sponsored advertising on the Sustainable Brands website and newsletters

What We're Looking For

• Bachelor's degree and 2+ years of relevant experience
• Experience planning corporate events or expos
• Exceptional at customer service including strong written and verbal communication skills
• Highly organized and detail-oriented
• Ability to identify needs and take action in ambiguous situations
• Knowledge of online platforms including Google Suite. Basic knowledge of Salesforce, WordPress, Google Ad Manager or Photoshop a plus
• A team player who communicates well across the organization
